1. Who we are

This policy explains how Catchment Simulation Solutions Pty Ltd (ABN 46 116 032 887) handles information when you use TRIM — our simulation queue and worker orchestration platform for TUFLOW.

Account registration and billing are covered by the CSS Software Privacy Policy. This document covers TRIM runtime and operational data only.

2. Scope

  • TRIM web portal — queues, workers, licences, settings
  • TrimWorker agents on your Windows PCs
  • TRIM notifications (email, in-browser, mobile push where enabled)

3. Australian data sovereignty

TRIM runtime data is hosted primarily in Sydney, New South Wales, Australia (BinaryLane, Mammoth Cloud, Next DC). TRIM uses a dedicated database separate from the CSS Software billing platform.

We do not sell your personal information or project metadata.

4. What we collect

Simulation metadata

Model names, file paths, run configuration, status, progress, and which staff member added a run. Paths may reveal project folder names on your network.

Workers and telemetry

Worker identity, heartbeats, GPU metrics, and incremental progress samples from TUFLOW log tails — aggregated for charts.

Technical and session data

Session cookies, security logs, and API request metadata (method, path, timing, status). We may analyse API traffic to operate, optimise, and support the service.

What stays on your infrastructure

TUFLOW model and result file contents are not uploaded to CSS servers. TRIM stores paths and operational metadata only.

5. How we use information

  • Operate your queue, workers, progress display, and notifications
  • Analyse API traffic for reliability, optimisation, and support
  • Produce anonymous aggregate statistics (for example fleet-wide counts of waiting or running simulations) that do not identify your organisation, queue, or project paths

6. How we protect your information

  • Tenant isolation per TRIM queue (subscription)
  • CSS staff cannot open your queue unless you invite them through a TRIM Support request in the portal. Access is time-limited and only to CSS support staff.
  • TLS for all browser and worker traffic
  • Role-based access and hashed worker secrets
  • Encrypted backups; databases not exposed publicly

7. Retention

Simulation and telemetry data is retained while needed to operate your queue. Simulation history and audit events are kept for the operational life of the subscription plus 24 months. Security logs are retained up to 24 months.

8. Third parties

  • Brevo — transactional email
  • Google FCM / Apple APNs — mobile push (if enabled)
  • Your organisation's administrators — queue visibility for authorised staff
